Designation of your Items
First, you need to designate each item on your project as either a task or a goal. Tasks are the small, individual steps that need to be completed in order to reach your goal. Goals are the overall objectives of your project.
As you complete tasks, you’ll move them from the To-Do column to the In Progress column. Once a task is completed, it will go in the Done column. This visual representation will help you see what still needs to be done and what has already been accomplished.
You can also use your Kanban board to track progress on goals. Simply create a new column for each goal and add tasks to that column as they are related to.

This quadrant should only contain a few items, as anything more will likely lead to overwhelm and stress. On the other hand, if you have very few items in Quadrants 3 and 4, it may be a sign that you’re not making effective use of your time.

Cleaning up Items
- Look at each item on the board and decide if it’s still relevant. If not, then it’s time to remove it.
- To remove an item, simply drag it off the board into the trash can icon.
- Once an item is in the trash can, it will be deleted permanently. So, make sure you only delete items that you’re sure you don’t need anymore.
